About the Role:
As the Scheduler you will be responsible for managing the pipeline of inspection projects and scheduling across multiple inspection sites for multiple verticals.. This role is responsible for coordinating and optimizing project timelines to ensure timely execution and efficiency in our operations, and for maintaining the data integrity of our scheduling systems. The successful candidate will be comfortable working independently, handling complex scheduling challenges, using data-driven decision-making to optimize processes, and working collaboratively with cross-functional teams.

Responsibilities:

Schedule Management:
-
Manage the project pipeline for site inspections, ensuring that timelines and resource allocations align with project requirements and client expectations.

Produce summaries of sites, assignments and deadlines

Assist with maintaining upcoming scan list
-
Compile missing data requirements for upcoming scans, working with ambiguous information
-
Maintain time estimates and other relevant information for upcoming tasks, understanding the different types of tasks and how their time estimates may change over time

Distribute tasks among sub-teams based on team availability and skillset distribution

Cross-Team Collaboration:
-
Communicate with internal teams to resolve gaps in data, delays, or scheduling conflicts, ensuring smooth operations and transparency in project workflows

Communicate with relevant team members to make them aware of the gaps and assist to retrieve the missing data requirements (e.g., as-builts)
-
Maintain relevant tracking sheets which are used for capacity management and other purposes

Problem Solving:
-
Diagnose and troubleshoot scheduling or production issues, adjusting schedules and workflows to accommodate unforeseen changes, such as weather or equipment delays

Provide input into improve operational processes based on problems encountered.

Qualifications:
-
Education: Bachelor’s Degree in Business, Operations Management, Information Technology, Administration or related fields.

Experience:
-
2+ years of experience in scheduling or project planning
-
Previous experience working in a high-volume project environment, managing 500+ projects simultaneously.

Technical Proficiency:
-
Proficient in Microsoft applications (Excel, Word) and Google Workspace.

Knowledge of Coda and Asana is a plus.

Soft Skills:
-
Strong written and verbal communication skills in English. Other language skills are considered an asset.

Strong communication and interpersonal skills, able to interact effectively with internal teams and external clients.

Ability to work independently, make decisions under pressure, and manage multiple projects simultaneously.

Excellent organizational skills with the ability to prioritize and meet tight deadlines.
